1. Reviewing and Revising Technical Documents

"Turn on Track Changes and tighten the Executive Summary. Clarify any vague words and spell out acronyms but don't rewrite whole sentences unless necessary."
What it does:
  • Enables Track Changes with word-level precision — edits are transparent, auditable, and granular
  • Suggests precise word edits without rewriting whole sentences
  • Keeps document integrity intact within the M365 security boundary
New in April 2026: Track Changes can now be turned on directly from Copilot.
2. Highlighting and Commenting on Risk or Regulatory Issues

"In the Risk Factors section, flag anything that's unclear and add comments where we need Finance validation or legal signoff based on what came up in last week's review meeting."
What it does:
  • Adds, reads, replies to, and manages comment threads anchored to the correct text
  • Keeps collaboration context intact — comments are linked to specific passages

3. Formatting Document Structure for Client Deliverables

"Create a table of content, then add a header with the document title and today's date, and add page numbers to the footer."
What it does:
  • Inserts and updates Table of Contents using Word's built-in heading types — structure stays accurate as the document evolves
  • Inserts and manages headers, footers, columns, margins, and dynamic fields (page numbers, dates) that automatically refresh with edits
  • Preserves formatting and collaboration history throughout
New in April 2026: Dynamic page features like headers, footers, and page numbers now auto-refresh with edits.
4. Summarising Pending Changes for Final Review

"Go through all unresolved tracked changes and comments and create a short 'Review Summary' section at the top that captures (1) proposed changes in the document and (2) open questions from comments."
What it does:
  • Generates a structured Review Summary capturing proposed changes and open questions
  • Simplifies handover to consultants, Finance, QA, or clients
  • For multi-step edits, Copilot shows progress in real time — building trust and transparency
New in April 2026: Progress messages now show what Copilot is working on during multi-step edits.

How to Use Copilot in Word – Consultant Work Instruction (Short Form)
These guidelines help PharmOut consultants leverage the latest Microsoft 365 Copilot in Word capabilities (April 2026) to enhance efficiency in drafting, reviewing, and refining technical documents — while maintaining professional judgment and regulatory compliance.
Prepare the Document
Before engaging Copilot, ensure your document is ready for work in Word:
  • Open the document in Microsoft Word (desktop — currently required for Frontier/Insider access).
  • Save to OneDrive or SharePoint for version control and collaboration.
  • Confirm you are working in the correct, most current version of the file.
  • Apply PharmOut or client-specific templates before engaging Copilot.
Invoke Copilot
Access Copilot's capabilities directly within Word:
  • Select the Copilot icon in Word to open the pane.
  • Choose from Draft, Rewrite, Summarise, or Ask a question.
  • Highlight specific text and prompt Copilot to refine or analyse it contextually.
  • Responses are powered by Work IQ, making them more personalised to your organisation's content and priorities.
Good practice: Be explicit about tone, formality, and that the core meaning must not be altered.
Use Controlled Editing with Track Changes
Use Copilot to make revisions with greater transparency and control:
  • Ask Copilot to turn on Track Changes directly — now available as a native Copilot action.
  • Track Changes now operates at word-level precision, making edits transparent, auditable, and granular.
  • Request scoped changes such as improving clarity, restructuring for flow, correcting grammar, or checking consistency.
Review each change individually: Accept or reject edits one by one, and always verify technical and regulatory accuracy.
For multi-step edits, Copilot shows real-time progress messages so you know exactly what it is working on.
Manage Comments and Flag Regulatory Issues
Use Copilot to manage feedback and escalate issues efficiently:
  • Ask Copilot to add, read, reply to, and manage comment threads anchored to specific text.
  • Flag unclear items in Risk Factors or compliance sections for Finance or QA review.
  • Comments remain contextually linked, preserving collaboration history throughout the document.
Use comments to keep questions visible, actionable, and tied to the exact wording under review.
